Back Up Your ChatGPT Chats
ChatGPT keeps your conversations until you delete them or close the account, and neither step can be undone. A good backup is two things: the official export as a complete archive, and Word or PDF copies of the conversations you'll actually reopen.

Quick answer: Back up ChatGPT chats in two layers: request the official export from Settings → Data controls → Export data for a ZIP of every conversation, and save the chats you'll actually reopen as Word or PDF files with the ChatGPT to Word or PDF extension. Do both before deleting chats or your account, because ChatGPT has no way to recover a deleted conversation.
Why two layers
The official export and a per-chat export solve different problems, and neither replaces the other.
| Official data export | Word or PDF of one chat | |
|---|---|---|
| Covers | Every conversation on the account | The chat you choose |
| Format | ZIP with JSON and one big HTML page | A document with tables, code and equations intact |
| Readable without tools | Partly: the HTML page opens in a browser | Fully |
| Effort | One request, then a wait of minutes to days | One click per chat |
| Best for | The complete archive, and feeding chats to other tools | The twenty chats you'll open again |
Keep the archive because you can't predict which old chat you'll need. Keep the readable copies because opening a 300 MB HTML page to find one recipe is not something you'll do twice.
Layer one: the complete archive
- On chatgpt.com, open Settings → Data controls, select Export under Export data, and confirm.
- Watch for the email. It can take minutes or, per OpenAI, up to seven days, and the download link expires 24 hours after it arrives.
- Download the ZIP while signed in to the same account and move it somewhere you back up anyway: Google Drive, OneDrive, an external disk. Name the folder with the date, for example
chatgpt-export-2026-10. - Open
chat.htmlonce to confirm it contains what you expect, then leave it alone.
Exporting your ChatGPT chat history goes through the ZIP's contents and the cases where the export isn't offered, such as Business and Enterprise workspaces.
Repeat this every few months. The export is a snapshot, and there's no incremental option, so each new ZIP replaces the last.
Layer two: readable copies of the chats that matter
For the conversations you'll reopen, a document is worth more than the archive: it opens anywhere, it keeps the tables and equations, and it can be shared. With the ChatGPT to Word or PDF extension installed:
- Open the chat on chatgpt.com.
- Click Word in the toolbar at the top for an editable copy, or PDF for a fixed one. The extension fetches the full conversation, so nothing is cut off.
- Rename the file from the chat's title to something you'll search for later, and save it with the archive.
Which chats deserve this? A rule that works: anything you've scrolled back to more than once, anything you'd be upset to lose, and anything produced over several turns that would be hard to recreate. For most people that's a small fraction of their history. ChatGPT to Word and ChatGPT to PDF describe the files in detail.
A conversation you only need the answers from can be exported without your prompts: tick Entire conversation exports under Include Only ChatGPT Responses in in the extension's settings first.
Before you delete chats
Deleting a conversation in ChatGPT is immediate and permanent as far as you're concerned: it leaves your history, and a later data export won't contain it. So, before clearing out:
- Request a fresh official export and wait for it to arrive. Don't delete on the strength of an export from months ago.
- Export the chats you're about to delete but might want as Word or PDF. It's one click each, and it's the only form they'll exist in afterwards.
- Check
shared_conversations.jsonin the export, or Settings → Data controls → Shared links, for any links you've given to other people. Deleting a chat deletes its shared link too.
Before you close the account
Closing a ChatGPT account deletes every conversation and every shared link. Order of operations:
- Official export, downloaded and opened once to confirm.
- Readable copies of anything important.
- If you also use ChatGPT's memory or custom instructions, copy them into a note. They aren't conversations and aren't exported as documents.
- Only then delete the account.
If you're moving to another assistant, the same files are what you'd bring with you. Moving between ChatGPT and Claude explains what Claude can take from a ChatGPT export and what has to be pasted as context.
Things that aren't backups
- Shared links. They point at the chat on OpenAI's servers. Delete the chat or the account and they die.
- Browser bookmarks to chats. Same reason.
- Temporary Chats. They're never saved, so there's nothing to export later; save them while open.
- Screenshots. They preserve the look and lose the text, the tables and the ability to search. A printed copy from a PDF export is a better physical backup.
The ChatGPT export overview compares every way of getting a chat out, and the Claude version of this routine, with its own export quirks, is at backing up Claude chats.
